• Role & responsibilities
Calendar Management:
• Efficiently manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements.
Communication:
• Act as a primary point of contact for internal and external stakeholders, filtering and handling inquiries as appropriate.
• Prepare and review communications, including emails, reports, and presentations.
Meeting Coordination:
• Organize and coordinate meetings, conferences, and events, including logistical arrangements, agenda preparation, and follow-up actions.
Travel Arrangements:
• Make travel arrangements, both domestic and international, including flights, accommodations, and transportation.
Document Management:
• Maintain and organize electronic and physical files, ensuring easy retrieval of information.
Expense Management:
• Process and track expenses, ensuring accuracy and compliance with company policies.
Confidentiality:
• Handle sensitive information with the utmost discretion and maintain a high level of confidentiality.
Task Prioritization:
• Assist in prioritizing tasks and managing time effectively to meet deadlines.
Project Support:
• Provide support on special projects as assigned by executives.
Team Collaboration:
• Collaborate with other administrative staff to ensure smooth office operations.
Preferred candidate profile
Minimum of 5 years of experience as an Executive Assistant or in a similar role.
Proven ability to handle confidential information with discretion.
Exceptional organizational and multitasking skills.
Strong written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with project management tools and software is a plus.
High level of professionalism and attention to detail.
